Docs

Write and organise pages for your workspace or a project, edit them together live, keep every saved version, and share a page by link.

Docs

Docs is where your team writes things down: specifications, meeting notes, decisions and runbooks. Pages can be nested under other pages, edited by several people at once, and every save is kept as a version you can look back at or restore.

Open Docs

  • Choose Docs in the sidebar to open the Workspace space: pages that belong to the whole workspace.
  • Open a project and choose Docs in its header to open that project's space. Pages you create there belong to the project.

The left panel has the Library views (Pages, Starred, Recent and Shared) and the All pages tree. Use Search pages... at the top to find a page by its title or its text. Shared lists the pages that are public by link.

Docs needs a role that can view attachments; creating and editing pages needs a role that can add them. If Docs is missing from your sidebar, ask a workspace admin.

Create a page

  1. Choose Create in the left panel (or New page from the More menu on an open page).
  2. Pick a starting point: Blank page, Meeting notes, Product requirement, Decision record or Runbook. A template fills the body with headings you can change.
  3. Enter a Page title and start writing.
  4. Choose who can see it: Internal, Public (shared, no login) or Private (specific people).
  5. Choose Create.

Organise pages in a tree

Any page can sit under another page, so a space can grow into sections and sub-pages. To move a page, drag it in the All pages tree, or open it and choose More → Move to…, then pick a new parent or Top level.

A page cannot be moved under itself or under one of its own sub-pages.

Write and edit together

  1. Open a page and choose Edit.
  2. Write in the editor. The toolbar adds formatting, and the body is Markdown: # Heading, - list item, - [ ] checkbox, **bold**, links and code blocks. The Preview beside the editor shows how the page will look.
  3. Choose Save to make your changes the page's content, or Cancel to stop editing.

Editing is live. Everyone who has the same page open in the editor types into one shared draft, sees the others' changes as they happen, and sees their avatars above the editor. Live means your changes are being shared; Offline means the connection dropped, and your changes are kept and shared when it comes back.

The shared draft is not the page. Readers keep seeing the last saved content until somebody chooses Save, and each save that changes the title or text makes a new version.

Versions and history

The version number is shown under the page title (for example v3 · History). Choose it to see every saved version with its author and time.

  • View opens an earlier version read-only, with a Rendered tab and a Diff vs current tab that shows the lines added and removed since.
  • Restore makes an earlier version current again. It is recorded as a new version on top, so the content it replaced stays in the history and the restore can be undone the same way.

Below the page, Activity lists renames, edits, visibility changes, moves, status changes and restores, and the comments section lets people discuss the page without editing it.

Draft, review and publish

Every page has a status: Draft, In review or Published. A new page starts as Published. The links next to the status move it on:

  • From Published: Revert to draft.
  • From Draft: Submit for review.
  • From In review: Publish or Revert to draft.

A draft cannot be published without going through review first.

Workspace admins can turn on Doc review reminders in Settings → Workspace and choose how many days a published page may go without a review. A page past that is marked Needs review, and the person who last edited it (or, failing that, its creator) is sent a reminder notification. Mark reviewed confirms the page is still accurate; saving a change to its text or publishing it again also restarts the clock.

Who can see a page

Choose Share on an open page and pick Who can access this page:

  • Internal: everyone in the workspace (a project's pages still follow that project's access, so a private project's pages are for its members).
  • Private: only you and the people you choose. Give each person Can view or Can edit. People you add are notified.
  • Public: anyone with the link can read it, without signing in.
Only the person who created a private page can change who can see it or delete it. Someone it was shared with to view cannot edit it.
  1. Open the page, choose Share, pick Public — anyone with the link, no login and choose Save. The link is generated when you save.
  2. Open Share again and copy the link. It looks like /public/docs/… on your workspace's address.

The public page shows the title and the saved content, read-only. It only works while the page is Published: move it back to draft or review and the link stops working until it is published again. Change the page back to Internal or Private to stop sharing it.

More on a page

  • Star a page to keep it under Starred.
  • More → Export as Markdown downloads the page as a .md file.
  • More → Delete page removes it.
  • When the project is connected to Figma, Embed frame under Figma embeds adds a design frame to the page.
