Members and roles

Invite people, pick their role, create custom roles, give guests limited access, deactivate or remove members and transfer ownership.

Members

Members are the people in your workspace. Each member has one role, which decides what they can see and do. Owners and Admins manage members from the Members page.

Invite someone

  1. Open Members in the sidebar and choose Invite member.
  2. Enter their Email address.
  3. Pick a Role. It starts on Member.
  4. For a guest, tick the Projects they can see. At least one is required.
  5. Choose Send invite.

The invitation is emailed. The confirmation also shows the Invite link with a Copy button, so you can send it yourself if email is not set up. Each link is for one person, works once, and expires in 7 days. Inviting the same address again replaces the earlier invitation.

Your plan sets how many members the workspace can have. Pending invitations count towards that limit until they are accepted, revoked or expire.

Pending invitations

Invitations not yet accepted are listed with who sent them and when they expire.

  • Resend sends a new link valid for another 7 days. The old link stops working.
  • Revoke cancels the invitation. Its link stops working immediately.

The standard roles

  • Owner: full access, including billing, settings, members and all projects.
  • Admin: manages members, projects, workflows and most settings, and sees every project.
  • Member: works on issues, attachments, time logs and chat in the projects they can see. Members cannot create projects, delete issues, manage sprints, boards or labels, or manage other people.
  • Approver: a Member who can also act on approval requests.
  • Auditor: can read everything, and change nothing.
  • Guest: someone outside your company who sees and works on only the projects you choose.

Owners and Admins see every project, private ones included. Every other role sees public projects and the private projects they are on. See Projects.

Guests

A guest works inside the projects they were added to, and nowhere else:

  • They can view, create and update issues, and add attachments, in those projects only. They do not see other public projects.
  • They do not see workspace-wide docs, whiteboards, goals or files that belong to no project.
  • They have no access to the people directory, chat, settings, reports, dashboards, initiatives, workload, forms or integrations.
  • Their Home page shows their own work and their projects instead of the workspace's dashboards.

To give a guest another project, add them on that project's Team tab.

Change a role or create custom roles

Open a member from the list and change their Role. You can only give a role whose permissions you hold yourself, and only an Owner can make someone an Owner.

To create your own role:

  1. Open Admin in the sidebar, then the Role tab.
  2. Under Create role, give it a Name. The Key is filled in for you and is fixed once the role is created.
  3. Tick the permissions it grants, grouped by area, or use All and None.
  4. Choose Create role. Later edits are saved with Save changes.
  • The standard roles cannot be edited or deleted.
  • A role still held by a member or a pending invitation cannot be deleted. Move those people to another role first.
  • A custom role sees projects the way Member does: public ones and the private ones the person is on.

Deactivate or remove a member

Open the row's menu or the member's details:

  • Deactivate: they lose access to the workspace immediately, but the account is kept. Find them later under the deactivated status filter and choose Reactivate.
  • Remove from workspace: they lose access to every project immediately and leave every project team. Their issues, comments and time logs are kept.
  • Send password reset emails them a link to choose a new password.

You cannot deactivate or remove yourself. Members cannot leave a workspace on their own; an Owner or Admin removes them.

Ownership

  • A workspace can have several Owners.
  • Only an Owner can transfer ownership, make someone an Owner, or deactivate, remove or reset the password of another Owner.
  • The last Owner cannot be removed or deactivated, and an Owner cannot remove themselves.

To hand over, use Transfer ownership: pick the New owner from active members, and choose the role you will move to. It also opens by itself if you try something that would leave the workspace without an Owner.
