Workload
Who is carrying what over a date range, measured against each person's weekly capacity.
Workload, or a project's Workload tab
Workload shows who is carrying what over a date range: the hours of work scheduled for each person, set against how many hours they have available. Use it to spot who is overloaded, who has room, and how much work nobody has picked up.
Open workload
- Workload in the sidebar covers every project except archived ones.
- A project's Workload tab covers that project only.
You need access to both issues and the member list. Filters are kept in the page address, so you can share a filtered view as a link.
Choose the window
Pick This week, Next week, Next 2 weeks, This month, or Custom for your own date range (up to 400 days). The page shows how many working days the window has.
Set each person's capacity
The Capacity column is each person's available hours a week. Type a number of hours (0 to 168) and press Enter or click away to save. Leave it blank if you don't know. Changing capacity needs permission to manage members.
How the numbers are worked out
- Capacity for the window = weekly capacity ÷ 5 × the working days in the window. Monday to Friday count as working days; weekends count as no capacity. Public holidays are not taken into account.
- Scheduled = the time estimates of the person's open issues whose dates fall in the window. An issue with both dates counts if its span overlaps the window; one with a single date counts if that date is inside it. Story points are added up too, but the percentage uses hours. Issues with no time estimate add no hours.
- Utilisation = scheduled hours ÷ capacity for the window. It is only shown when the person has a capacity set.
- Open issues assigned to someone that aren't dated inside the window are shown as + N undated ... not counted above. It is real work they hold, but it can't be measured against the window.
- Finished issues never count against capacity.
- Logged is the time people logged on matching issues during the window.
Each person gets a band from their utilisation:
- Has room: under 50%.
- Healthy: 50% to 90%.
- Nearly full: over 90% and up to 100%.
- Over capacity: over 100%.
Filter and read the list
- Search with Find a person, or filter by Project, Type and Sprint. Sub-issues are not counted.
- People with nothing assigned are hidden. Tick Show people with nothing assigned to include them.
- The busiest people are listed first. Select a person to see their issues in the issue list.
- The Unassigned panel under the list shows scheduled and undated work nobody is carrying yet.
