Recurring work

Raise an issue from a template on a schedule — every day, week, two weeks, month, quarter, six months or year.

Administration → Templates → Recurring work

Some work comes round again and again: the release checklist, the dependency audit, the monthly review. Recurring work raises an issue from a template on a schedule, so nobody has to remember to create it.

Before you start

A schedule raises a template, so create the template first in Administration → Templates. What the issue says — type, description, priority, labels, custom field values — lives on the template, so changing the work is one edit there. See Issue templates.

Schedule a template

  1. Open Admin in the sidebar, then the Templates tab, and scroll to Recurring work.
  2. Pick a Template.
  3. If the template is offered in all projects, choose where to raise it in Raise it in. A template tied to one project is always raised there.
  4. Choose How often: Every day, Every week, Every 2 weeks, Every month, Every quarter, Every 6 months or Every year.
  5. For weekly schedules pick the weekday in On; for monthly ones pick the Day of the month.
  6. Choose Schedule it.

You need permission to create issues to add, pause or resume schedules, and permission to delete issues to delete one.

When issues are raised

The schedule keeps the time of day at which you created it, worked out in UTC — so where clocks change for summer time, the local time it runs moves by an hour. A weekly schedule first runs on the next chosen weekday (next week, if that is today); a monthly one runs this month if the day is still ahead, otherwise next month. Days 29 to 31 fall on the last day of shorter months.

Due schedules are checked every hour, so an issue appears within the hour it was due. A late check does not shift the schedule: the next issue is still due at the usual time.

What the raised issue looks like

  • Its title is the template's name.
  • It takes the template's type, description, priority, labels and custom field values.
  • It is an ordinary issue from then on: assign it, move it, close it.
If a template can no longer be raised, that run is skipped and the schedule moves on to its next date. Other schedules are not affected.

Pause, resume or delete

Each schedule lists how often it runs, the next date and when it last raised an issue. Use the pause button to stop it for a while (it shows paused) and the play button to resume. The bin icon deletes it (this needs permission to delete issues); issues already raised are not affected.
